CLIENT COORDINATOR

Location: Remote Position (U.S.-Based Only)

Job Overview:

We are seeking an efficient and detail-oriented U.S.-based Client Outreach & Engagement Specialist with experience in healthcare, mental health, or wellness client engagement. The ideal candidate will be responsible for following up with potential clients, scheduling appointments, and managing client communication for Rise Up Resiliency Center and Get It Right, Get It Tight. Your primary goal is to convert leads into scheduled therapy sessions and wellness program sign-ups while providing excellent client support. This role requires handling both inbound and outbound calls, using the Grasshopper phone system app, so candidates must be U.S.-based with a clear English accent.

Responsibilities:


• Handle both inbound and outbound calls to communicate with potential and existing clients.
Use the Grasshopper phone system app for all client communication.
Respond to emails, DMs, and calls from potential therapy and wellness clients
Follow up with leads from social media, workshops, and inquiries.
• Maintain a warm, professional, and supportive tone in client communication. •
Manage appointment scheduling for therapy and coaching programs in SimplePractice.
• Send appointment reminders and follow-ups to reduce no shows.
Assist clients with completing intake forms in SimplePractice.
•Maintain accurate client data in SimplePractice and Google Sheets.
Track engagement progress using Google Workspace tools.
• 
Ensure all client interactions comply with HIPAA privacy regulations.

Requirements: •


Must be U.S.-based to use the Grasshopper phone system app.
Must have a clear English accent for client calls.
Experience in healthcare, mental health administration, or wellness industries. •Familiarity with SimplePractice (preferred) or other EHR systems.
Comfortable making both inbound and outbound calls.
Excellent communication and customer service skills.
Proficiency in Google Workspace (Gmail, Google Sheets, Google Docs).
Highly organized, detail-oriented, and results-driven.
Ability to efficiently handle high-volume client engagement.
Comfortable working independently in a fast-paced environment.
• Must be available for 5-10 hours per week with flexible scheduling.

Preferred Qualifications
(Not Required,
but a Plus!):

• Experience in mental health, therapy, or wellness programs.
• Knowledge of insurance verification and medical billing.
• Bilingual (English/Spanish) preferred but not required.
